WEDDING MANAGEMENT

My “Day Of” coordination package doesn’t just begin on your wedding day.  Palm & Pine is available throughout your planning process to answer any questions you have along the way, offering guidance on etiquette, reviewing contracts, offering vendor recommendations based on your style, budget and location, and sharing the best resources I’ve found for décor and design. 

As soon as we begin working together, we’ll hop on a call and fill out your preliminary timeline so booking vendors is easier for you.  I’ll also create ceremony, cocktail, and reception layouts so you can visualize your wedding throughout your planning process.

Two months before your big day, we begin combing through your wedding details, fine tuning your minute to minutetimeline from the beginning of hair and makeup through cleanup at the end of the night. 

Palm + Pine Events is always the first “vendor” on site, and the last to leave, making sure that every detail is exactly as planned and nothing slips through the cracks. 

 

PRIOR TO 2 MONTHS

-Digital planning folder containing planning documents to help with your planning process

-Unlimited emails for questions and guidance

-Vendor recommendations

-Creation of timeline

-To scale layouts of ceremony, cocktail hour, and reception

BEGINNING AT 2 MONTHS FROM WEDDING DATE

-Walkthrough at venue

-finalization of minute to minute timeline of the wedding day

-Finalization of to-scale layouts of ceremony, cocktail hour, and reception

- Hair and makeup schedule

-Family photos list

-Assist with seating chart creation with corresponding spreadsheet and layout with numbered tables and chairs

-Assist with processional order and ceremony flow

-Review of all contracts and confirm all vendor orders and quantities on rental Items

-Emails to each vendor to review timeline, schedule arrival and end times, and communicate venue’s policies and procedures for unloading, set up and   tear down and to obtain COIs if venue requires

-Review and proof BEO (Banquet Event Order) provided by catering manager

-Distribute final client approved timeline, layout, and vendor contact list to all vendors at 1 week before wedding date

THE NIGHT BEFORE

-Ceremony rehearsal & the hand off of all personal items and  décor

-Signing of the marriage license

-Provide photographer, videographer, and hair and makeup with hotel room number

THE WEDDING DAY

-  Lead coordinator plus at least one assistant for the   duration of the wedding day

-First vendor to arrive on site, oversee all vendor load in and setup

-Setup of all personal décor items including seating cards, menu cards, table numbers, favors, sign-in   guest book, etc.

-Assist officiant and orchestrate ceremony

-Communicate with musicians on ceremony song selections and cueing wedding party for   processional

-Communicate and manage banquet staff regarding set ups and compliance of floor plans

-Sound check for ceremony and band musicians/DJ and review formalities and song selections

-Direct ushers with seating and program distribution

-Work with band musicians/DJ to establish timing for grand entrance, first dance, cake cutting, bouquet and garter toss, and last dance

-Communicate with photographer and videographer to capture all formalities

-Prepare and handle final payments and gratuities to vendors

-Last vendor to leave, make sure load out happens on time, nothing is left behind or damaged, and preform final walkthrough with venue
